Change registration procedure
All of the settings which control access to a course are summarized on this page.
Attention: All changes on this page are only saved after you have clicked on “apply”'. If you have made changes which have not been saved, the system informs you of this with the message "These data have not yet been saved".
Registration procedure — yes or no?
First, you can stipulate whether a registration procedure, i.e. a restriction of the number participants, should be implemented by Stud.IP. You can leave the course open with the “none” option and thus allow normal access to the course (for additional information see below). Additionally, you have the option of stipulating a restriction of participant number by means of lottery procedure or in chronological sequence (more information in the following).
If a registration procedure has been activated, for example because you activated it while setting up the course, you cannot return to the “No registration procedure” mode. This primarily helps to avoid confusion among the students. Once a registration procedure has been stipulated, it should also continue as such. However, if you still want to change the procedure used, please contact one of the administrators.
Settings if no registration procedure has been selected
If you clicked on “No” (registration procedure) or if there has been a checkmark next to this button from the very beginning, you can alter the access permission for write and read with various settings:
Reading access means that someone can view/read all the materials and discussions in your course, but cannot directly participate. Writing access accordingly means that someone can, e.g., write their own Postings in the course’s Forum.
- "Free access"
means that someone who discovers Stud.IP in external pages can browse around in your course. This person is not registered and therefore has no name. These “nobodies” are absolutely not permitted to write. If you do not want someone from outside the university to look at your work, set the access to the standard setting:
- "Registered in Stud.IP"
In order to only allow those participants whose names are known and who have reregistered by mail to read and write in the system, or activate the following option:
- "Only with password"
to assign a password for the course. You can enter the password further down the page.
This is an effective method for limiting the number of participants as well as for excluding “troublemakers” from the course in the Teaching area because no one can enter the course without having given the correct password. You can inform your students of the password, e.g., in the first course session. If you plan to set up a course in the area of Research or Organisation, you should always implement password protection, otherwise all Stud.IP participants could follow the committee discussion.
Settings if a registration procedure has been selected
If you have selected a registration procedure, you can set the following options:
The number of permitted participants. The number of permitted participants per contingent is determined from this number.
Here you stipulate which students will be admitted via their courses of studies. You can add fields of study by using the selection field and a click on “Add” or remove them by clicking on the “Waste bin”.
The declaration of contingents occurs in percent. The actual number of places is calculated from the entered number of participants in the first step. Please note that rounding errors can occur in the calculations and the exact number of places may not be realised.
The system automatically calculates a uniform distribution if you do not make any percent specification of your own.
Please also note that there is a contingent for all other fields of study. In this manner you can assign places for any arbitrary courses of study. The system also uses this contingent to adjust the percent specification to 100%.
If you have selected a participant procedure with a lottery date you must stipulate the latter here. After this date, free places will be distributed to students who were not given a place in your contingent, but were still justified in desiring to enrol in the course.
- "Final date of the contingentization"
If you have decided on the variant for place distribution in the sequence of registration, now stipulate when the contingentization will be revoked. Also in this case the procedure that after the final date other students whose contingent was already completed have the possibility of subsequently moving up the waiting list. Also in this case no students who are not in an appropriate field of studies will be admitted unless you have added a contingent for other fields of study.
If you place a checkmark behind "Registration is binding", you stipulate that students can no longer cancel their registration to a course. You can use this, for example, when you previously announced that the number of places reached in a course also has to be realised so that you can also depend on the number of participants. The participants in your course can then only be released from the course by you. Therefore, consider the consequences very carefully before you activate this option.
It is best to activate this option just a few days before the course begins, i.e. when it can be assumed that the students have completed their schedules. Moreover, you should announce this course date in advance. In this manner, it is perhaps possible that the students will also actually use the achieved places so that you, as lecturer, are not alone in the course at the end.
